Turkey Farmers of Ontario is seeking a resourceful team player to join our Kitchener office as a full-time (35 hours) Administrative Assistant. Job Responsibilities
The office administrator is responsible for providing administrative support to the TFO team, Board of Directors and the General Manager. The office administrator needs to be organized, self-motivated and detail-oriented.
Data Entry/Communications:
• Update and maintain client contact information
• Preparing, maintaining , organizing and disseminating documents using Microsoft Word at an intermediate/advanced level (templates, styles, headers/footers, tables of contents, etc.)
• Data entry of
o Custom slaughter reports
o Dealer reports
o Flock analysis reports
o Other data entry as required;
• Prepare correspondence and licenses
• Support external requests for promotional materials, industry information
• Clerical support for administration of TFC On-Farm Programs – preparing notices and plans, certificates, update lists, forms and tracking
• Filing of documents;
• Other duties as assigned
Administrative:
• Receive external phone calls and emails; direct to appropriate person
• Foster and maintain good working relationships with clients
• Respond to general inquiries
• Support organization and function of board and committee meetings:
o Organizing meeting packages and meeting calendars/invitations;
o Taking minutes;
o Meeting luncheons and refreshments, as required
• Coordinating and managing appointments, meetings and boardroom schedule;
• Maintaining cleanliness of office common spaces;
• Assist with corporate initiatives as required; including annual general meeting, producer meetings and other industry trade shows
• Order and maintain inventory of office supplies
• General administrative support of staff team and Board of Directors, as required
• Other duties as assigned
Experience:
• High School Diploma – Required
• 5-7 years of experience in Administration or similar field
• Experience working in the Agriculture sector- An asset
• Advanced skills in data entry
• Advanced MS Office (Word, Outlook, Excel & PowerPoint)
• Excellent written and communication skills
• Professionalism
• Ability to work with minimal supervision
• Ability to lift up to 25lb
• Ability to sit for long periods of time

Working Environment:
