What your day looks like: 

This position includes assisting in the coordination of administrative functions, including budget, personnel, meetings, and clerical duties.  This role assists with the day-to-day operations of the office by doing tasks such as filing paperwork, answering phone calls, preparing documents, monitoring invoices.

  • Answer and direct phone calls or take messages for appropriate parties  
  • Provide general support to visitors and team members 
  • Produce and distribute correspondence memos, letters, faxes, and forms 
  • Carry out administrative duties such as filing, typing, copying, binding, scanning, etc. 
  • Assist company employees, clients and customers 
  • Handle multiple projects 
  • Prepare and monitor invoices 
  • Book conference calls, rooms, couriers, etc. 
  • Cover the reception area as needed 
  • Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies 
  • Contribute to team effort by accomplishing related results as needed 
  • Assist with New Hire Orientation (preparing materials for new hires, collecting documents) 
  • Responsible for scanning HR documents and file management  
  • Other additional support duties as needed  

 

Who you are: 

  • Proven admin or assistant experience 
  • Ability to handle multi-line switchboard 
  • Ability to remain sitting at workstation for prolonged periods of time 
  • Attention to detail and problem-solving skills 
  • Strong organizational and planning skills 
  • High-level of effective interpersonal communication skills, both written and verbal 
  • High level of confidentiality and professional demeanor 
  • Ability to manage third party relationships effectively 
  • Strong time management skills, organized, detail-oriented 
  • Strong desire to be a part of an organization with a fast paced, result-oriented culture
  • High School Diploma, GED or equivalent. 
  • 1-2 years of experience providing administrative support as an office administrator, secretary or relevant administrative role  
  • Knowledge of administrative and clerical procedures and systems such as e-mail, spreadsheets, and managing files and records and other office procedures at a proficient level. 
  • Proficient in MS Office  
  • Ability to prioritize work. 
  • Good written and verbal communication skills 
  • General basic knowledge of office setting & willingness to learn
