This position includes assisting in the coordination of administrative functions, including budget, personnel, meetings, and clerical duties.This role assists with the day-to-day operations of the office by doing tasks such as filing paperwork, answering phone calls, preparing documents, monitoring invoices.
Answer and direct phone calls or take messages for appropriate parties
Provide general support to visitors and team members
Produce and distribute correspondence memos, letters, faxes, and forms
Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
Assist company employees, clients and customers
Handle multiple projects
Prepare and monitor invoices
Book conference calls, rooms, couriers, etc.
Cover the reception area as needed
Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies
Contribute to team effort by accomplishing related results as needed
Assist with New Hire Orientation (preparing materials for new hires, collecting documents)
Responsible for scanning HR documents and file management
Other additional support duties as needed
Who you are:
Proven admin or assistant experience
Ability to handle multi-line switchboard
Ability to remain sitting at workstation for prolonged periods of time
Attention to detail and problem-solving skills
Strong organizational and planning skills
High-level of effective interpersonal communication skills, both written and verbal
High level of confidentiality and professional demeanor
Ability to manage third party relationships effectively
Strong time management skills, organized, detail-oriented
Strong desire to be a part of an organization with a fast paced, result-oriented culture
High School Diploma, GED or equivalent.
1-2 years of experience providing administrative support as an office administrator, secretary or relevant administrative role.
Knowledge of administrative and clerical procedures and systems such as e-mail, spreadsheets, and managing files and records and other office procedures at a proficient level.
Proficient in MS Office
Ability to prioritize work.
Good written and verbal communication skills
General basic knowledge of office setting & willingness to learn
