ABOUT THE COMPANY:
Sunrise Mountain Ranch is a 14,500-acre working cattle ranch located near Bly, Oregon in the upper Sprague River. This is an exciting opportunity for anyone interested and/ or has experience working in ecological restoration and land management.
ABOUT THE JOB:
The Operations & Administration Coordinator will primarily support the day-to-day administrative activities of the ranch and land restoration operations, including accounts payable duties, vendor management, licensing and permitting, IT oversight of internet provider and technology usage (i.e., computer set-up, general IT support), integration of accounting processes, document management, and some HR related items to support staff management. Additional office management duties include implementation of efficient and organized daily operation practices.
Under the guidance and supervision of the Assistant General Manager, the Operations and Admin Coordinator will be required to work closely with the General Manager of Land Restoration and Stewardship, along with other enterprise staff, ranch consultants and outside vendors.
CORE RESPONISBILITIES:
- Coordinate all administrative related aspects of ranch management and land restoration as well as track projects, deadlines and maintain entity records.
- Procure bids from contractors and vendors for projects, maintain lead times and deadlines, and progress payment coordination.
- Work closely with the Accounting Manager to ensure accounting policies and practices are followed and assist with collection of employee receipts for expense classification and monthly credit card and bank reconciliations.
- Daily monitoring of dedicated AP email inbox and bi-monthly A/P run assistance using Bill.com in conjunction with the local CPA firm and the Accounting Manager.
- Create, update, and manage vendor accounts including monitoring vendor invoices, receipts and coordinating with Ranch Managers for classification of expenses.
- Prepare & circulate an agenda for the weekly Ranch Meeting with senior ranch staff; update and manage completion of action item/project status tracker after each meeting.
- Assist with ranch acquisitions and related due diligence.
- Ensure that all federal, state, and local entity registrations, taxes, and fees are paid on time; maintain the document that tracks the same.
- Maintain annual property tax assessment database as well as assist the Accounting Manager in gathering information needed for tax returns.
- Maintain all vehicle inventory and records, working closely with the insurance provider and update policies with new equipment and vehicles;
- Interface with DMV and DoT to ensure vehicles are properly registered.
- Document management - (i.e., livestock tracker, permits, leases, vehicle registrations, state, and federal filings).
- Assist HR with administrative processes ensuring personnel issues are handled on a timely basis (i.e., time sheets, change of status forms, etc.);
- Facilitate new employee onboarding process within Trinet’s HR portal;
- Assist HR with creating job descriptions and daily checklists for ranch management, updating as required.
- Assist with the development and maintenance of Ranch Operations Manuals including policies and procedures (security, health, and safety).
- All other duties as assigned.

REQUIREMENTS & QUALIFICATIONS
- High school diploma or equivalent.
- A bachelor’s degree in business management,
- Agriculture or ranch management or minimum 3 years’ experience in a related field is a plus
- General knowledge of Microsoft office suite including Outlook, Word, Excel, PowerPoint, DropBox & Adobe
- Bill.com and QuickBooks or relevant experience with accounting software preferred
- Ability to complete and pass a background check, motor vehicle checks (clean driving record) and drug testing as part of the hiring process.
