Job Description:

 

Our client, a leader in the production and export of frozen seafood, is searching for an Export Logistics and Documentation Coordinator to join their team in Montreal. This position will support international export transactions from order placement to completion, acting as liaison with all parties to ensure smooth processing of shipments.

 

The Export Logistics and Documentation Coordinator will generate shipping documentation; oversee all aspects of the container shipment (from assisting customers/suppliers with bookings to the containers’ arrival at the port of destination); gain knowledge and expertise with each customer’s requirements and implement changes to streamline the process. This position reports directly to the President.

 

RESPONSIBILITIES:

Container & Airfreight Export Logistics & Supply Chain

  • Liaise with freight forwarder to organize shipment by sea freight or airfreight
  • Request transport quotes and negotiate
  • Process customer purchase orders, input orders into the system, ensure they are processed according to customer requirements, and ensure they are accurate and delivered on time
  • Liaise with plants to make sure products are produced according to customer requirements and destination requirements
  • Liaise with warehouse and plants to load according to instructions and on time.
  • Prepare all necessary export documentations according to destination country (invoice, packing list, health certificate, catch certificate, CO, BL etc.)
  • Follow up on deliveries and customs clearance
  • Solve any delivery-related issues
  • Maintain and update PCP export plan

 

Import Logistics

  • Check if the product imported complies with Canadian regulations and PCP Import plan. If not, report to buying team to find alternative
  • Maintain and update PCP import plan if the product is not listed or if there is a change in the Canadian regulations
  • Check draft documents received from the supplier to confirm if they are correct
  • Before arrival of container shipment, send all documents to customs broker to clear customs as soon as possible
  • Organize pickup and delivery of the container before paying demurrage charges
  • Liaise with plant and/or warehouse to book the delivery

 

Release from Warehouses

  • Process release orders from three warehouses
  • Track and manage inventory from three warehouses
  • Identify and resolve discrepancies in inventory counts
  • Help maintain and prepare inventory report

 

US & Canada Trucking Export/Import Logistics and Supply Chain

  • Request transport quotes and negotiate as needed.
  • Process customer purchase orders, input orders into system, ensure they are processed according to customer requirements, and ensure all orders are accurate and delivered on time
  • Liaise with plants to release products according to warehouses or customer requirements and destinations
  • Prepare necessary documents, verify deliveries and solve any delivery-related issues

 

Sales, Accounting, Admin and Plant Support

  • Provide updated inventory to the sales team and support accounting and finance by keep files up to date
  • Complete releases, invoicing, and inventory in a timely manner so everything is up to dat
  • Provide the plant with sufficient notice when you are planning to move product
  • Check with the plant regarding which labels and loading requirements

 

DESIRED PROFILE

  • 3 to 5 years’ experience in logistics, with ocean container exports and freight forwarding
  • Familiarity with CFIA and FDA regulations, DFO – Catch Certificate, CARM, Traces NT, HS Code, and Livingston are considered an asset
  • Experience with frozen seafood or food is essential
  • Ability to critically think through multiple step process and follow up on several details
  • High ability to handle multiple priorities while being detail oriented
  • Excellent communication, verbal and written skills
  • Strong Excel skills and some freight software knowledge
  • Strong negotiation skills. Ability to solve problems and create solutions
  • Ability to work under time constrains and accustomed to working in a fast-paced, dynamic environment
  • Living in or able to relocate to the Montreal, QC area
