Position Purpose:

Warehouse Coordinator role is the backbone of our site operations, ensuring that inventory flows seamlessly, product quality is maintained and inventory records are accurate. This is a high-impact role that balances hands-on inventory control with strategic administrative oversight and regulatory compliance.

The role is responsible for monitoring inventory levels against established safety stock targets, initiating procurement activities, and ensuring materials and supplies are delivered in accordance with defined standards. It also ensures adherence to written work instructions, policies, and procedures through audits, inspections, and job cycle checks.

The Warehouse Coordinator collaborates with service providers, vendors, and other stakeholders to ensure products are moved and available on time, supporting uninterrupted production by ensuring required resources are available when needed.

The role is responsible for ensuring inventory records accurately reflect physical inventory, minimizing discrepancies and preventing financial losses to the company.

Key Responsibilities:

  • Oversee the day-to-day movement of all inventory entering and exiting the warehouse.

  • Monitor inventory levels against established safety stock levels to prevent shortages or overages.

  • Initiate requisitions for materials and supplies as needed to maintain operational continuity.

  • Ensure all inbound inventories meet strict specifications and operational standards

  • Lead regular cycle counts to ensure 100% accuracy of physical and inventory records.

  • Schedule sampling activities and ensure inventories have quality data in accordance with company procedures.

  • Coordinate with site service provider for the schedule, sequence and inventory movement priorities.

  • Monitor the service level of the service provides and proactively establish improvements as necessary.

  • Perform first party audit and evaluate the compliance of service providers, vendors and contractors to site written work instruction, policies and procedures.

  • Manage vendor relationships regarding delivery schedules and discrepancies.

  • Coordinate the timely move-out of inventory according to project timelines and shipping instructions.

  • Schedule and verify the execution of preventive maintenance for forklifts, warehouse equipment and  cooling system.

  • Enforce safe forklift operation protocols and movement of vendors and service providers in warehouses

  • Manage the site's pest control program for warehouse and plant processing facilities

  • Continually review and update warehouse work instructions to reflect best practices and safety standards.

  • Act as the primary point of contact for regulatory bodies during site inspections and material testing.

  • Lead improvement initiatives using LEAN, Kaizen, Six Sigma and continuous improvement tools.

  • Participate in cross-functional quality management audits to maintain high organizational standards.

  • Lead plant administration, including site security, facilities compliance (right-to-operate), and stakeholder engagement with local government units and the industrial park.

  • Oversee on-site administrative support for visitor management and corporate events.

Qualifications:

  • Bachelor's Degree in Supply Chain Management, Engineering or related field required.

  • Minimum of 3-5 years of experience in warehouse operations, with at least 1-2 years in a leadership or supervisory role.

  • Proficiency in Inventory Management Systems (ERP/WMS) and Microsoft Office.

  • Knowledgeable in forklift operations with a solid understanding of cold-chain or cooling system requirements.

  • Familiarity with safety regulations (OSHA or local equivalent) and quality management systems (e.g., ISO).

  • Strong negotiation skills for vendor management and the ability to lead a team under tight deadlines.

  • Superior command of the English language (written and verbal) with the ability to influence stakeholders at all levels.

  • Ability to perform technical audits and generate detailed reports.

  • Ability to work extensively in production facility environments, including exposure to heat, humidity, and varying weather conditions.
