You have the opportunity to join our team as a Facilities Services Analyst at our site located in Punto Polanco (Mexico).

Responsabilities:

Administration

  • Serve as the focal point for site management (internal customers and Condominium Management)

  • Lease agreement monitoring and administration

  • Control of property taxes, condominium fees, utilities, and processing and updating municipal operating licenses and other licenses if necessary

  • Administration of service contracts for the office

  • Site occupancy control

  • Preparation of spreadsheets, graphics, and presentations

  • Focal Point for security

  • CCTV management - ID carding, check-ins, security cameras

  • Issuance/control of badges, entry tags, check-in and check-out management

  • Control/administration of legal documents for office operations

  • Attend government visits (SAT, Labor Secretariat, Fire Department, City Hall, etc.) and maintain up-to-date regulatory documentation for submission when required

  • Coordinate SG-SST activities, working with external providers and other departments to ensure compliance

  • Manage and process payments for FSRE providers (monitor costs and expenses stipulated in the contract, include invoices in the system, and submit them for payment)

  • Implement standards - infrastructure and participate in internal or external committees if necessary

  • Identify potential improvement projects for management processes, activities, infrastructure, and site security, and work with the coordination team for implementation

  • Perform external due diligence and provide banking services when necessary

  • Allocating and optimizing space within the facility to meet the needs of different departments.

  • Responsible for the cafeteria area and ensure that the supplier provides good service to internal customers.

EHS - Environment, Health and Safety

  • Works on second party audit findings elimination

  • Makes first party safety audits and work on findings elimination

  • Management of evacuation plans and location of emergency elements: promoter of the emergency evacuation and disaster management plan in collaboration and coordination with the building's control center

  • Formation and participation within the emergency brigade

Security

  • Develop and manage the security of the unit and its personnel, including the management of service providers, maintenance of equipment and investments related to security

  • Promote awareness of security and specific programs (such as I'm OK and See Something, Say Something) in the unit by including the topics in daily security dialogues, posters, emails and other forms

  • Manage, report (ETQ) and investigate security incidents.

  • Participate in Corporate Security training and Security Talks sessions

  • Be the point of contact between corporate security and the unit

  • Provide security guidance to travelers

  • Be a security host

  • Implement the Global Security Standard, among other activities.

Maintenance

  • Helps review and create operational and safety procedures to assure quality and safe conditions on maintenance works.

  • Monitoring, executing, and controlling the site's maintenance schedule, ensuring the maintenance plan is implemented and up-to-date. Vendor management, including the annual office fumigation plan.

  • Administration of the alarm system and fire equipment maintenance.

Gardening

  • Maintain / Replacement of office floral arrangements: arrange for purchases and hire a specialized company to replace them when necessary.

Cleaning

  • Monitoring, executing, and controlling the site's cleaning schedule, ensuring the work plan is implemented and up-to-date. Vendor management.

  • Control and acquisition (if necessary) of cleaning supplies

  • Supervise cleaning, manage deviations, and seek improvements

Document & Asset Management

  • Responsible for managing the site's fixed assets (accounting, surveys, and booking system)

  • Responsible for managing warehouses and parking in the building

  • Administration of dead file (external supplier) - Ex: collection requests, system access, document searches, and periodic asset assessments

Requirements:

  • Degree in Administration, Hospitality, Engineering, or Architecture.

  • Essential computer skills: Excel, PowerPoint, Word. Desirable: Power BI and SharePoint.

  • Intermediate English (minimum - interface with Parent Company and reports).

  • Experience in contract management and facilities activities, general administration, payment control, and customer/people support.

  • Capable to manage contractors company and assure technical, safety and commercial issues follow contract specifications

  • Good communication skills with FS&RE customers as well as Project, RE, Services and Maintenance teams

  • "Hands on" attitude to implement actions defined in FS&RE strategies
