Position Summary:

The Administrative Assistant will be responsible for organizing and coordinating office administration and procedures, bookkeeping activities and customer service in order to ensure effective and efficient day-to-day operations.

What will you do:

Essential Job Functions:

  • Answer telephones and greets visitors, including making calls to customers to set up grain pick up and deliveries.
  • Distribute and manage monthly finance charges to customers.
  • Assist the Grain Merchandiser with various tasks: entering daily grain tickets, weekly grain settlements and account reconciliations.
  • Manage fertilizer transactions: invoicing, stock additions/adjustments, inventory voucher maintenance.
  • Manage driver-related tasks: mileage records, EZ-Pass accounts, driver credit cards, absence forms, dispatch list, random drug screening, driver schedules and submitting weekly driver hours
  •  Oversee an efficient office environment, including purchasing office supplies and directing internal communications.
  • AP – entering all expense vouchers and paying, uploading ACH files
  • AR – entering and depositing/reconciling checks, payments from lockbox and checks
  • Perform other duties as assigned.

Who are you: 

  • High School Diploma
  • Minimum of 1-2 years' experience working in an office setting and customer service role

Qualifications Needed:

  • Excellent customer service and communication skills required
  • Demonstrates critical thinking and problem-solving skills
  • Proficient written communication skills in business correspondence
  • High degree of organizational skill, accuracy, attention to detail, and ability to multi-task and prioritize work efficiently.
  • Good written & verbal communication skills.
  • Competency in Microsoft Office, Excel and PowerPoint
  • Experience with ERP systems preferred.
  • Demonstrated positive attitude and ability to work well as part of a team and with all levels of the organization.
  • Commitment to developing a safe culture

Physical Requirements:

  • Must be able to spend extensive time using a computer and phone to meet daily job requirements.
  • Ability to lift up to 25 lbs. on occasion
