About the Role
The Administrative Assistant supports the Ames Production Office (APO) by performing essential administrative functions, coordinating supply and delivery logistics, and managing the work order system. This role ensures the efficient flow of veterinary, maintenance, and operational supplies to HANOR farms, including the routine delivery of boar semen and other materials.
With direct involvement in supply chain, data management, and logistical support, the Administrative Assistant plays a vital role in maintaining seamless farm operations across the HANOR system.
Key Responsibilities
- Provide administrative support including data entry, filing, phone coverage, and document preparation
- Enter and close local work orders with Operations and Maintenance Managers
- Coordinate purchasing, tracking, and delivery of veterinary supplies, commodities, equipment, and services
- Assist with preparation and shipment of biological samples per regulatory standards
- Prepare and distribute veterinary sampling kits under veterinarian guidance
- Supervise and coordinate activities in the central supply storeroom
- Deliver supplies, including routine delivery of boar semen, traveling up to 150 miles per day
- Maintain purchase records and assist with requisition planning
- Support environmental compliance documentation and reporting
- Maintain office cleanliness and professional presentation
- Assist with coordination of company events and meetings
Qualifications
Required
- High School Diploma or equivalent
- Valid driver’s license with a clean driving record; must qualify to operate a company vehicle
- Demonstrated computer literacy (Microsoft Office preferred)
- Strong organizational skills and ability to manage multiple tasks
- Effective communication and attention to detail
- Ability to maintain confidentiality and follow biosecurity protocols
- Comfortable working in a rural, farm-adjacent setting with frequent travel (up to 150 miles/day)
Preferred
- Prior administrative or inventory coordination experience
- Familiarity with agricultural or animal health supply management
