Summary

The Coordinator, Accounting and Compliance is responsible for accounts payable and administering daily and monthly accounting functions for the collection and compliance activities within the state of Texas in accordance with state and federal laws and regulations. This role maintains the collections database and communicates with producers, packers, and other key stakeholders, as well as providing exceptional customer service on matters concerning Beef Checkoff payment and programs. Additionally, this position participates in inventory management and order processing.

 
Essestial Functions

 An employee in this position may be called upon to do any or all of the following essential functions. These examples do not include all of the functions which the employee may be expected to perform.

 
Collections & Compliance 

  • Act as a key liaison between TBC and organizations, including the Texas Department of Agriculture, USDA, Cattlemen’s Beef Board (CBB), and others related to collection and compliance activities.
  • Collaborate with Industry Relations and Producer Communications to enhance communication with cattle producers.
  • Monitor and manage the collections database and liaise with accounting, industry relations, and database development contractors on the technical aspects of new reports and special projects.
  • Enter collections transactions and maintain database records on payments, contact information, and field notes. 
  • Prepare and distribute refund forms and verify and process refunds, ensuring accuracy and no duplication.
  • Monitor and analyze collection site accounts for nonpayments, delayed payments, and irregularities.
  • Investigate and resolve compliance issues based on established internal controls.
  • Prepare monthly reports and charts on collection and compliance activities.
  • Coordinate audit activities with the collection site and auditors and assist external auditors with information and special reports as needed.
  • Answers the collections phone line and manages voice mail greetings and automatic replies to address producers' inquiries regarding the Beef Checkoff program.
     

Accounting and Inventory 

  • Perform the accounts payable, including maintaining vendor information, invoice processing, and payment tracking. 
  • Perform month-end close procedures, including account reconciliation and journal entry preparation, to prepare monthly financial statements.
  • Ensure compliance with established internal control procedures and CBB requirements.
  • Assist in the collection of information for the annual financial audit.
  • Review and adjust resource website material requests.
  • Monitor inventory levels to create purchase orders, receive items in the accounting system, and produce inventory reports.
  • Serve on TBC cross-organizational teams to advance the organization’s mission. 
  • Other duties as assigned.

 

Minumum Qualifications

  • Education - Minimum of a High School Diploma. Associate’s or Bachelor's degree preferred.
  • Experience - 3+ years in customer service and accounting.  Experience managing complex databases, customer service, and all bookkeeping functions.

  • Must possess strong organizational, verbal communication, and interpersonal skills.
  • The ability to multi-task effectively and communicate at all levels of the company, including vendor representatives, is essential.
  • Self-starter with a high level of organization and a disciplined approach to timeline-driven workflow and habits are ideal.
  • Must possess excellent attention to detail, sound judgment, responsiveness, discretion, and the ability to maintain confidentiality.
  • Proficiency in Excel and accounting software is critical. Loyalty, dedication, and a commitment to the beef industry and TBC are highly valued in this role.
