The Turnaround Administrative Assistant provides administrative support to the Turnaround Management Team.
What you will do:
  • Create, organize, and support TA and project work package filing system
  • SAP support and training
  • Manage invoicing corrections and work directly with Purchasing and Warehouse
  • Develop and update turnaround manuals
  • Vendor head count and tracking during turnaround 
  • Develop or proof memorandums and communicate to site 
  • Schedule and coordinate meetings as necessary
  • Process incoming/outgoing mail daily
  • Purchase office supplies
  • Verify and manage vendor invoicing, monitor project cost and planner efficiencies 
  • Complete weekly reports timely and accurately
  • Perform other duties as assigned
  • Creates and maintains necessary tracking/coordination spreadsheets
  • Schedules department events, conference facilities, daily/weekly/monthly department meetings
  • Prepares meeting agendas and takes meeting minutes
What you will bring:
  • Must have high school diploma
  • 6 or more years of administrative assistant experience in a construction environment
  • Excellence in communications; both written and verbal
  • Proficient in SAP, P6, Word, Visio, and EXCEL
  • Ability to exercise good judgement in a variety of situations
  • Strong written and verbal communication, administrative, and organizational skills
  • Ability to maintain a realistic balance among multiple priorities
  • Ability to work independently on projects, from conception to completion
  • Manage a wide variety of activities and confidential matters with discretion
