Job  Description:

 

In partnership with the Manager, Conferences and Events, the Coordinator, Conference & Event Planning is a key member in the coordination, planning and execution of key Shoppers Drug Mart conferences and events.

 

What You'll Do;

 

  • Budget Management

Review and pay all invoices, assist with reconciling payments to ensure budget is adhered to and accounting policies are followed

 

  • Management of conference materials

Development of the Conference Event App. Manage and order all signage required for conferences & events. Propose ideas and creative games to enhance event quality. Obtain and arrange items for delegate bags.

 

  • Coordinate event activations 

Assist with décor and entertainment.  Order awards, prizes and promotional items for giveaways. Ensure compliance and appropriate Insurance coverage is in place at all venues according to contract terms and conditions

 

  • Support onsite registration at all conferences & events

?Provide customer service while on site at all events, assist with logistics, signage placement and workshop handout replenishment etc. Communicate and manage volunteers and support staff for venue and AV partners.

 

  • Handle shipment of all conference materials to and from venue.

Arrange trucks for delivery to all conference sites. Organize and manage all conference materials for shipping to all venues. Manage packing and labelling of all pallets for shipping purposes. Handle all US customs paperwork to and from the U.S.A. for out of Country conferences.
 

What You'll Bring;

 

  • Event Planning;

2-5 years of experience with event planning for conferences, tradeshows and other large corporate events.

 

  • Project Management:

The ability to manage multiple tasks, deadlines, and project components simultaneously. 

 

  • Budgeting & Financial Management:

Intermediate level in Excel, Word & PowerPoint, skilled in managing financial resources, creating budgets, and analyzing financial performance.

 

  • Communication & Negotiation:

Strong communication skills for interacting with clients, vendors, and other team members. 

 

  • Problem-Solving:

The ability to think on your feet and resolve unexpected issues that may arise during event planning and execution. 

 

  • Attention to Detail:

Meticulous attention to detail to ensure all aspects of the event are handled correctly and effectively. 

 

  • Teamwork:

Ability to lead and motivate event planning staff and work collaboratively with various stakeholders and committees.
