The Mailroom Clerk is responsible for assisting the Mailroom Supervisor in overseeing day to day operations and all mailroom processes and responsibilities required at the Provigo head office located at 400 Sainte-Croix Avenue. Supporting office colleagues with any mail, courier, printing, or ad-hoc needs are necessary or requested by all business units and office departments. 

 

Day to Day Operations 

  • The Mailroom Clerk is responsible for receiving all incoming mail and courier packages into the building. 
  • Responsible for sorting and delivering mail and courier packages to office colleagues daily and notifying internal recipients upon delivery. 
  • Daily collection of mail and courier packages from all floors of the building. 
  • Daily processing of outgoing mail and courier packages through Loomis, FedEX, Canada Post and local courier services. 
  • Process regular mass mailing projects to stores in the Quebec region. 
  • Assisting colleagues in tracking courier mail requests. 
  • Monitoring and restocking office supplies in the mail and print centers on all floors (e.g., paper, envelopes, toner cartridges). 
  • Responsible for various office service-related tasks throughout the building (e.g., daily and one-off assistance requests from colleagues regarding personal locker assignments, supply replenishment, set-up and teardown of event space). 
  • Ensuring the mailroom workspace and all mail and print centers on each floor are clean and free of safety hazards, in compliance with health and safety standards. 
  • Maintenance of mailroom equipment, including Automated Loomis Shipping software, postage meter, print finishing equipment, etc., and reporting any malfunctions to the Mailroom Supervisor. 
  • Utilizing Knowledge of cost-saving strategies when selecting shipping options. 
  • Responsible for ensuring the mailroom is securely locked at the end of the day and for identifying any security breaches or incomplete tasks daily. 

 

Qualifications 

  • 1–2 years of experience in a mailroom or related operational support role (preferred). 
  • Physical capability to lift up to 60 lbs and stand for extended periods. 
  • Proficiency in using computers and web-based applications. 
  • Familiarity with Microsoft Office Suite (Outlook, Word, Excel) and the ability to manage and respond to emails professionally. 
  • Strong communication skills. 
  • Experience in a dynamic work environment; ability to handle last-minute tasks or projects. 
  • Proficiency in using Webship applications and Loomis shipping software is an asset 
  • Experience in a corporate office setting would be beneficial. 
  • Knowledge and experience in print production or finishing is an asset. 
  • Positive attitude and excellent interpersonal skills. 
  • Demonstrate ability to analyze issues and implement effective solutions
