Assistant Maintenance Manager Job Description
Job Summary
The Assistant Maintenance Manager plays a crucial role in supporting the Maintenance Manager in all aspects of facility and asset upkeep. This position is responsible for overseeing day-to-day maintenance operations, ensuring the reliability and performance of all assets, and promoting a culture of safety and operational excellence. The Assistant Maintenance Manager will supervise maintenance personnel, coordinate work schedules, and utilize the existing Eptura maintenance software to minimize downtime and maximize efficiency.
This role reports directly to the Maintenance Manager.
Supervisory Responsibilities
The Assistant Maintenance Manager assists in the direction, coordination, and evaluation of maintenance staff, carrying out these responsibilities in accordance with the organization's policies and applicable laws. This includes training employees, planning and assigning work, and addressing complaints and resolving problems. All decisions must align with the Maintenance Manager’s plans and require prior approval for any changes.
Key Responsibilities
Operational Management:
- Assist the Maintenance Manager in overseeing and directing all maintenance activities, including corrective, preventive, and predictive maintenance.
- Coordinate the upkeep of buildings, grounds, and utility systems.
- Supervise and direct maintenance personnel, providing guidance and support to ensure high-quality work.
- Review job orders and schedule maintenance tasks to ensure continuous production and operational efficiency.
- Act as a positive role model and work alongside the crew to demonstrate a strong work ethic.
Eptura Platform & Inventory Management:
- Serve as the primary user of the Eptura maintenance software under the direction of the Maintenance Manager.
- Maintain and optimize the existing preventive maintenance program within Eptura to extend asset lifespan and reduce unplanned downtime.
- Ensure the accuracy of the inventory within Eptura and maintain minimum order levels as needed.
- Conduct periodic inventory checks to verify stock levels.
- Create and manage parts kits for employees to streamline work order completion.
- Ensure all work orders are completed properly, with accurate employee work hours and parts assigned.
- Track and manage the asset registry within Eptura, ensuring all critical asset information and maintenance histories are accurate.
- Use Eptura's reporting and analytics features to analyze maintenance data, identify trends, and provide insights to the Maintenance Manager for decision-making.
Safety & Compliance:
- Champion a safety-first culture, ensuring all work is performed in accordance with company safety protocols and state and federal regulations (e.g., OSHA).
- Develop and implement an emergency response system, and train staff on proper procedures as directed by the Maintenance Manager.
- Ensure the use of appropriate Personal Protective Equipment (PPE) by all staff.
- Maintain accurate records of safety inspections, incidents, and training.
Administrative & Financial Support:
- Assist with budget preparation and monitoring of department expenditures.
- Manage the procurement of tools, equipment, and supplies, and complete all related purchasing paperwork in a timely manner.
- Generate and review reports on project progress, materials used, and costs.
- Provide the Maintenance Manager with daily and weekly updates on project status and schedules.
Qualifications
Education & Experience:
- A Bachelor's degree in a related field is preferred, or an equivalent combination of education and experience.
- Proven experience in a supervisory or leadership role within a maintenance or facilities management environment.
- Demonstrable knowledge and hands-on experience with Eptura maintenance software is essential.
Skills:
- Strong leadership and communication skills, with the ability to motivate and manage a team.
- Excellent problem-solving abilities and a proactive approach to maintenance.
- Proficiency in using maintenance management software and tools, with specific expertise in Eptura.
- Ability to read and interpret technical manuals, blueprints, and schematics.
- Strong organizational and time-management skills.
- Bilingual Spanish. Read and write.
Physical Requirements & Work Environment:
- Ability to lift and/or move up to 50 pounds.
- Willingness to work in various conditions, including exposure to outside weather, loud noise, and moving mechanical parts.
- Must be able to stand, walk, climb, and stoop for extended periods.
