Job Description:

Job Summary: The Professional Pork Alliance (PPA) Administrator is responsible for managing and maintaining accurate records related to pig movements, feed budgets, and invoicing. This role involves detailed data entry, financial administration, and regular communication with growers and transporters to ensure smooth operations. This ideal candidate will be detailed-oriented, proficient in Excel and QuickBooks, and possess strong time management and collaboration skills.

 

Key Responsibilities:

  • Collect and verify data for weekly inputs:
    • Print input sheets
    • Ensure correct Group code on each sheet.
    • Follow up with growers who have not submitted
    • Code feed invoices
  • Enter PigKnows records:
    • Enter pig movements and feed invoices
    • Create and send end of group and feed usage reports for review.
    • File records.
  • Feed Budgets:
    • Create feed budgets for new groups
    • Balance end of group feed accounts.
  • Insurance Alarm Reports:
    • Keep records of monthly insurance alarm reports and follow up on missing reports.
  • Entering Bills:
    • Enter feed and vendor invoices in QuickBooks
    • Rebill invoices to customers
    • Create monthly grower payments
    • Rebill invoices and grower repayments to customers.
  • Invoicing:
    • Create invoices for Customers.
    • Scan and send customer invoices and payment information.
  • Data Entry and Record Keeping:
    • Maintain weekly data and update weekly sales spreadsheets.
  • Statements/Reporting:
    • Prepare per pig monthly statements.

 

Qualifications:

  • Detail-oriented with a high degree of accuracy.
  • Administrative and financial experience.
  • Proficiency in Microsoft Office, specifically in Excel.
  • Strong Time management skills.
  • Dependable and problem solver.
  • Excellent cross-team collaboration and communication skills.
  • Experience with SAP, QuickBooks, PigKnows, or other ERP systems

 

Education:

  • Degree or Diploma in Business Administration, Accounting, Finance or related field.
  • 2+ years of experience in financial administration.
  • Knowledge of agriculture, farming or livestock is a valuable asset.
