Competitive compensation package. Grade and salary commensurate with experience, with an annualized base salary range of 65,000.00 - 95,000.00 plus a bonus based on team and individual performance. Description/Job Summary

This role is part of the Executive Office consisting of the CEO, senior leadership team, and other Executive Office support roles. The incumbent provides administrative support to the CEO, senior leadership team, and the Board of Directors. This support includes managing a wide range of tasks and collaborating with others. It requires an expert skillset in detail-oriented work, organization, time management, and communication.

Responsibilities/Duties

Executive Support
  • Provides administrative support and assistance to the CEO, including yet not limited to:
o Assists with management of the CEO's schedule and calendar, including meetings, events, and travel arrangements.

o Manages incoming and outgoing communications, such as emails, phone calls, and other correspondence.

o Organizes and prepares materials for meetings as needed, including creating reports and presentations.

o Handles confidential documents, corporate files, and agreements, ensuring proper filing and retrieval systems.

o Serves as a liaison for various stakeholders, including other senior leaders, employees, the Board of Directors, Farm Credit system contacts, the regulator, external auditors, and vendors.
  • Provides administrative support to the senior leadership team, including yet not limited to:
o Schedules Strategy Committee and other senior leadership team meetings and retreats, including the coordination of agendas and guests, as directed by the CEO.

o Attends Strategy Committee and other meetings, as requested by the CEO, to prepare meeting notes and document decisions.

o Manages assignments coming out of Strategy Committee and other senior leadership meetings.
  • Manages correspondence with the Farm Credit Administration (FCA)
    • Distributes FCA correspondence to appropriate parties.
    • Schedules quarterly meetings.
    • Posts materials to secure FCA site as directed by senior leaders.
    • Updates the Association FCA profile quarterly.
    • Manages FCA site access.
  • Collaborates on the collection and submission of various information requests.
  • Collaborates with other Executive Office support roles to ensure effective day-to-day operations of the Executive Office.
  • Supports the planning and execution of initiatives led by the CEO and/or Strategy Committee, including monitoring timelines, deliverables, and progress, and collaborating with others to ensure alignment and completion.
Board of Directors Support
  • Oversees scheduling board meetings and establishing agendas, as directed by the CEO.
  • Collaborates on board meeting logistics, including participant invitations, location logistics, and third-party coordination.
  • Attends board meetings, or portions thereof, and collaborates on taking minutes and completing post-meeting tasks.
  • Collaborates on the coordination of administrative duties related to the Board of Director election process.
  • Coordinates, compiles, and posts board materials as directed by the CEO in coordination with other Executive Office support roles.
  • Collaborates on the coordination of board technology support.
  • Collaborates with other Executive Office support roles to ensure effective board operations.
Association Communication and Alignment
  • Supports and documents annual association communications schedule to ensure timely, consistent communication from the CEO and the senior leadership team.
  • Provides information for association events, including agenda planning, across the Association to create consistency and ensure organizational awareness throughout various functions.
Data Security and Confidentiality
  • Risk management is every employee's responsibility. This includes, yet is not limited to, appropriately protecting the confidentiality, security, and integrity of the Association's systems and data and clients' data

Required Skills

  • Skill in planning and coordinating the various aspects of a meeting or event.
  • Skill in capturing and documenting minutes and notes.
  • Skill in utilizing technology to increase efficiency.
  • Working knowledge of Word, Excel, PowerPoint, and Outlook sufficient to create, update and save a variety of documents.

Required Qualifications

Associate's degree in business, finance or related field and 5 years of experience in administrative support or office management, preferably with at least 3 years of executive-senior level support.

Or equivalent education, experience, and skillset sufficient to perform the essential functions of the job.
