Job Description:


Our client, a childcare catering company, is searching for a Receiving and Inventory Control Supervisor in Markham. The Receiving and Inventory Control Supervisor is responsible for overseeing accurate and efficient receipt, storage, and picking of all raw materials required for production. This role ensures inventory accuracy and availability to support daily operations and production needs.


Reporting to the Production Manager, this position will lead the Receiving Department and work closely with the Production team. Key responsibilities include maintaining optimal inventory levels, staging and recording returns or losses, and leveraging the ERP system to prepare daily consumption reports and purchase order receipts. This role also includes developing and managing relationships with suppliers, sourcing new vendors for menu items, and continuously seeking cost-effective purchasing options for both food and non-food items.


The Receiving and Inventory Control Supervisor is accountable for maintaining quality standards across all receiving and inventory functions, ensuring material handling equipment is certified annually, and that all team members hold current material handling licenses. The goal of this role is to ensure seamless daily operations that meet or exceed performance expectations.


RESPONSIBILITIES:


Inventory Management and Control

  • Daily inspection of the warehouse to ensure the inventory levels are maintained and FIFO process is being utilized and proper HACCP receiving, internal movement including HOLDS and storage are being followed.
  • Ensures inventory team thoroughly checks products when receiving for quantity, quality, temperature (and other HACCP requirements) and the product received matches the product ordered.
  • Proactively resolves variances with the vendors to ensure the food is ready and available for production to meet their demand along with resolving substitutes with the Menu Co-ordinator.
  • Generate Daily production guide and cross check the menu, weekly purchasing reports from ERP and order accordingly- Direct Buy and Distributors.
  • Ensure all the required food is on site 24-48 hours prior to being needed in production.
  • Work closely with Production to ensure adequate inventory levels are maintained.
  • Preparation and receipt of all purchase orders to ERP.
  • Perform Daily Consumption, report yield vs. supplier related losses, shipping and closing of all production orders.
  • Ensure all purchases meet all CFIA/HACCP requirements.
  • Monthly physical inventory counts, data entries and analysis of results.
  • Work with inventory and production team to ensure the freshest products are on hand and are donated / discarded appropriately.
  • Proactively and in a timely fashion, communicate supply and inventory challenges to Production Supervisors, Customer Service and Management.

Vendor Management

  • Evaluate, develop, and manage relationships with existing vendors; seek and develop new vendors.
  • Negotiate and close both short-term and long-term purchasing contracts upon recommendation to and with approvals from Production Manager.
  • Continuously gather and communicate market intelligence to understand and analyze current and future market conditions; use market information to assist in building sourcing strategies, involved in negotiations and purchasing decisions, and assist in pricing discussions with vendors.
  • Attend and participate in vendor and tradeshow meetings as required
  • Respects and follows the Supplier Approval Program
  • Pick up any last minute (shorts) in the company van


Receiving

  • Coordinate Drivers to make food pick-ups for production as required.
  • Resolve issues regarding shipped and received orders as well as inventory accuracy.
  • Collaborate with the Production team and Customer Care team to communicate regarding daily workflows and to optimize processes for picking of production items all the way through to the delivery to the customer.
  • Oversee the acceptance of deliveries.
  • Oversee the process and ensure loading and unloading deliveries is done in a secure and accurate manor.
  • Problem solving for any cases of missing documents, shipments or deliveries.
  • Maintain an organized work area according to policies, procedures and safety regulations.
  • Ensure the proper sorting and distribution of incoming shipments.
  • Ensure products meet expiration code requirements, and are nut free, pork free and shellfish free.
  • Oversee and manage the budget of the Receiving department.


Workplace Safety:

  • Develop and uphold a culture of food safety across the organization, ensuring all team members adhere to best practices and guidelines.
  • Ensure a safe work environment is always maintained.
  • Maintain compliance with JHSC recommendations, Catering’s internal policies, and attend monthly and quarterly JHSC meetings.
  • Ensure Food Safety and HACCP guidelines are followed, including the completion of pre-requisite programs for shipping and receiving, pertaining to food temperature, proper handling of food and materials, and adherence to guidelines on who can and cannot handle food


Talent:

  • Provide leadership and direct supervision to employees in their department.
  • Manage employees, provide training, coaching and development opportunities.
  • Ensuring that proper employee documentation is sent to HR in a timely and accurate manner.
  • Having open and honest communication with employees and being able to have crucial, conversations when necessary.
  • Developing “A” players to uphold a high performing production team.
  • Follow the company’s talent management program with objectivity and meeting timelines of the program, providing reports, arranging feedback sessions and following up on action items.
  • Approve payroll, attendance requirements, vacation and wellness planning of each AM team member and approve hours/update ADP accordingly.
  • Participate in the recruitment process by selecting the most suitable candidates.
  • Effectively coach and counsel employees in dealing with only the employee relations matters, and work with HR on any challenging concerns.
  • Maintaining a regular cadence with the team (daily huddles, weekly meetings, 121’s, and regular employee check ins and feedback sessions). Manage performance through performance review process and coaching.
  • Follow the company’s talent program and evaluate staff quarterly, and bi-annually.


Continuous Improvement, Innovation & Expertise:

  • Developing departmental policies and procedures for both Shipping and Receiving that meet organizational expectations and deliver on Driver safety, on-site productivity and flow while meeting on-time delivery requirements.
  • Focusing on CI initiatives and ensuring that this is happening regularly; and that CI initiatives are moving forward on a regular basis.
  • Fluency with technology, explore new technologies and utilize them as an accelerator for the business.
  • Develop and evaluate new ways of doing things based on company needs for optimum efficiency and accuracy
  • Implement action plans to address any challenges in Shipping or Receivin
  • Review, improve and implementing workflows that achieve KPI’s / metrics assigned for the department.
  • Makes L3 recommendations for continuous improvement within the scope of their department.
  • Implement action plans to address any challenges in the receiving of raw materials and shipping to customers.

DESIRED PROFILE:

  • College Diploma or University Degree is required - Supply Chain Management, or food related industry
  • CPIM, CSCP and CLTD certifications are preferred.
  • A minimum of 3-5 years of supervisory experience.
  • A minimum of 5 years of experience managing inbound and outbound Logistics.
  • Advanced knowledge of Microsoft Office Suite of products – Word, Excel, PDF, Outlook.
  • Experience with Logistics technology including route mapping / route generation software, GPS tracking, ERP experience (JF preferred).
  • Experience working in a fast-paced environment; a hands-on role dealing with tight deadlines.
  • Experience in food and HACCP certified environments is preferred.
  • Knowledge of HACCP, GMP and OHSA is considered an asset.
  • Food Handler Certification is an asset.
  • Proficiency in food processing technology and the ability to learn new technology.
  • Clean Driver Abstract and G license
