Position Overview:
This position provides day to day administrative and project coordination support primarily for the Facilities team but will also have frequent contact with Office Ambassadors and vendors, as needed. The incumbent will be responsible for developing a proficiency in all facilities related software and applications in order to keep data current, accurate and provide the team and management with facilities metric reporting. Serves as the primary point of contact for Office Ambassadors answering general questions and monitoring the ticketing system to assure timely completion of tickets or ensure assignment to the appropriate specialist. Organizes and maintains facilities documentation, leases, contracts, etc. working with the vendor management team to ensure ease of retrieval and appropriate renewals. Serves as the primary point of contact with Compeer"s cleaning vendors ensuring quality of service and proper access control for cleaners. Provides research, oversite and guidance of specialty programs being administered through the facilities team.

Essential Functions:

* Fulfills internal facilities requests to accommodate human resources needs and changes.
* Maintain records and files for all properties and serves as a point person for issues regarding systems maintenance.
* Works with Office Ambassadors and Loan Operations leadership to coordinate and communicate facilities initiatives.
* Serves as the liaison between Compeer offices and the cleaning company to ensure proper administration of service.
* Coordinates equipment installations and ensures equipment is kept up to date and leases/contracts are properly administered.
* Serves as the primary point of contact for software vendors staying informed of new system functionality and best practices (FMX Workflow System, FM System (Occupeye), SharePoint, Vendminder, Aurora and CPM).
* Monitors systems and provides reporting for ongoing review of occupancy data, planning, workload assessments and management use.
* Manages and organizes facilities information, documents, floor plans, seating assignments and changes.
* Serves as backup for locking doors, answer panic alarms, etc.
* Ensures all legal documentation (i.e. contracts, leases, software maintenance agreements, etc.) are entered into the system. Monitors lease expirations and upcoming contract renewals to ensure timely and prompt attention.
* Coordinates facilities team meeting schedule and logistics.

Minimum Qualifications & Required Knowledge, Skills and Abilities:

* Associate"s degree in business administration, agribusiness or related field or an equivalent combination of education and experience sufficient to perform the essential functions of the job.
* Minimum of 3 or more years of experience in project coordination or administrative support.
* Strong listening, written and verbal communication skills, with ability to communicate at all levels of the organization.
* Skill in developing and maintaining interpersonal relationships.
* High level of integrity.
* Strong problem solving, decision making and organizational skills.
* Strong computer skills, including MS Office applications and customer relationship management (CRM) programs.
* Strong analytical skills with attention to detail.
* Flexible and adaptable to changing situations.
* Ability to remain objective in balancing business needs and risk.
* Ability to work independently and collaboratively with other teams to achieve goals and represent the business.
* Valid driver"s license.
