The Opportunity

CAHRC is seeking a Project Coordinator to provide administrative support under the direction of the Director, Research and Knowledge Mobilization.  Key duties include planning events, scheduling meetings, preparing materials, taking meeting minutes. Duties will also include other project administration duties including project reporting.

 

This role is ideal for an experienced, detail-oriented project administrator who enjoys event planning, data tracking, preparing documentation and reports. There will also be some travel required in order to support meetings and events (estimated to be 10%-15% of time over the year).

 

Reporting to the Director, Knowledge and Mobilization, the Project Coordinator plays a key role in ensuring CAHRC’s projects are administered in a timely, organized and efficient manner.

 

What You’ll Do

  • Coordinate virtual and in-person events, including event planning and logistics, participant invites and registrations, materials preparation including PowerPoint presentations, materials distribution, co-ordination of translation, co-ordination of communications, and track all event details including participant travel expense claims and in-kind contributions.
  • Assist Executive Director, Directors and Project Managers in project administration activities.
  • Work with the marketing and communications team to coordinate activities related to the project.
  • Track and monitor project activities using project management software and/or spreadsheets.
  • Maintain records of all documents and correspondence related to projects.
  • Track project material resources.
  • Travel to attend and support meetings and events.

 

What You Bring

Education & Experience

  • At least 2 years of experience as Project Coordinator.
  • At least 2 years of experience planning and coordinating meetings and events.

 

Technical & Professional Skills

  • Strong project administration and reporting skills
  • Strong event planning skills
  • Advanced proficiency in Microsoft 365 (Word, Excel, PowerPoint, Teams)
  • Experience with tools such as Canva and Monday.com
  • Advanced proficiency in virtual meeting software, including Zoom Webinar and MS-Teams.
  • Ability to use digital tools and platforms to improve efficiency and engagement

Compensation & Benefits

Salary: $55,000 - $65,000 annually, commensurate with experience.

Benefits: Comprehensive group benefits following a three-month probation period.

Vacation: Four weeks annually.

Sick Leave: Twelve paid sick days per year.

Retirement: Mandatory participation in a 50/50 RRSP program with a 5% employer contribution.
