Location: ADM VN, Quarter 1B, An Phu Ward, Thuan An City, Binh Duong Province, Vietnam (shuttle bus provided).

Reporting to: General Manager, AN, VN&KH

Direct Reports: 3 Sales Admin Staff

JOB PURPOSE

The sales admin manager is responsible for leading the sales admin team to ensure efficient order management, customer service, and sales support across Vietnam. This role oversees administrative operations, optimizes processes, and ensures compliance with company policies to enhance customer satisfaction and support the sales team.

KEY RESPONSIBILITIES

1. Team Leadership & Management

  • Supervise and manage a team of three sales admin personnel, ensuring workload balance and efficiency.
  • Provide coaching, training, and performance evaluations to enhance team productivity and professional growth.
  • Develop and implement best practices in sales administration to streamline processes and increase operational efficiency.
2. Order & Sales Process Management

  • Oversee the receipt, processing, and tracking of sales orders in Navision or relevant ERP systems.
  • Ensure all orders are processed accurately and in compliance with company policies.
  • Monitor order fulfillment, liaising with logistics and warehouse teams to ensure timely delivery.
  • Resolve any order discrepancies, payment issues, or related challenges.
  • Ensure proper documentation and tracking of lead times for order processing and approvals.
3. Customer Service & Relationship Management

  • Ensure the team provides exceptional customer service by responding promptly to inquiries and resolving issues efficiently.
  • Maintain and update customer information accurately in the system.
  • Work closely with the sales team to support customer needs and market requirements.
  • Implement and oversee customer satisfaction initiatives.
4. Sales Data & Reporting

  • Monitor and analyze sales trends, customer purchase behaviors, and market insights.
  • Generate and review regular sales reports to support decision-making for management.
  • Ensure data accuracy in sales and customer management systems.
  • Oversee customer code creation and ensure compliance with company requirements.
5. Price Management & Compliance

  • Supervise and validate price updates, including price increases, reductions, and internal/export price adjustments.
  • Ensure adherence to company pricing policies and approval processes.
  • Collaborate with the finance and sales teams to ensure accurate pricing and discount structures.
6. Compliance & Process Improvement

  • Ensure adherence to company policies, local regulations, and corporate compliance guidelines.
  • Identify areas for process improvement and drive initiatives for efficiency and accuracy.
  • Collaborate with internal stakeholders such as Finance, Supply Chain, and Marketing to optimize workflows.


REQUIREMENTS

1. Education & Experience

  • Bachelor's degree in Business Administration, Supply Chain, Accounting, or a related field.
  • At least 5 years of experience in sales administration with at least 2 years in a managerial role.
  • Experience in the animal nutrition or agriculture industry is a plus.
2. Skills & Competencies

  • Strong leadership and people management skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in ERP systems (Navision preferred) and Microsoft Office (Excel, Word, PowerPoint).
  • Strong analytical and problem-solving skills.
  • Ability to multitask, prioritize work, and meet deadlines in a fast-paced environment.
  • Customer-oriented mindset with strong negotiation and conflict-resolution skills.
  • Proficiency in English (both spoken and written) is required.
