Receptionist and Administrative Assistant - ADM Global Headquarters, Chicago, IL

This is a non-exempt level position

ADM's global headquarters in downtown Chicago seeks a dedicated and detail-oriented professional to fulfill a dual role as a receptionist and administrative assistant. The position requires a mature, diligent and highly organized person with the desire and ability to provide exceptional support in a fast-paced environment. The successful candidate will have strong business skills and the ability to prioritize effectively.


The receptionist/administrative assistant will be responsible for the following:
  • Provide administrative support for business meetings at the global headquarters through: running guest registration, arrivals, meeting support and logistics.
  • Meet and greet customers, vendors and other visitors via security guidelines and in a friendly manner.
  • Work closely with team of Executive Assistants in providing support for business meetings/events, and other office management needs.
  • Monitor and maintain office supply levels
  • Handle office facilities, repairs, maintenance requests, and conference rooms.
  • Update location telephone directory.
  • Provide administrative support to a senior executive, including but not limited to: handling calendar, travel, expense reports and special projects.
  • Clerical duties to include, but not limited to copying, faxing, filing and mailing
  • Distribute and or collect daily deliveries (US Mail, UPS, FedEx)
  • Maintain files/record retentions.
  • Assist with scheduling arrangements of on-site and off-site meetings, business travel and events.
  • Effectively lead time and projects, based on priority and demand.
  • Work as a standout colleague, supporting ADM and its global headquarters in its mission and strategies, and demonstrating the ADM values.
Qualifications and Competencies:
The receptionist/administrative assistant will be hands on and resourceful and possess a strong work ethic and professional persona in addition to the following:

  • Strong dedication to continuous learning and professional development.
  • Ability and confidence to learn and use various IT systems, with a proven proficiency in Microsoft Office Suite (Outlook, Calendar, Word, PowerPoint and Excel) required.
  • Demonstrate a clear dedication to safety and security


  • High School diploma or equivalent education.
  • Minimum of 5-7 years of experience working in an office environment.
  • Very efficient, organized and enjoy assisting others.
Relocation assistance is not available with this position.
