This role is responsible for executing and supporting direct procurement activities to ensure the timely, compliant, and cost-effective purchase of raw materials (RMs) for production, in alignment with legal requirements and ADM policies.
1. Purchase Order Management
Prepare and manage order confirmations, contracts, and POs (both physical and system-based) in compliance with ADM policies and procedures.
Align with buyers to ensure contract compliance and risk mitigation.
Track and manage purchase orders, including ETD/ETS/ETA of shipments, delivery documents, customs clearance, FX hedging, and payment processes.
Handle insurance declaration on the I-Cargo system, if required.
Monitor and manage discounts/penalties related to quality, delays, or invoice/price discrepancies.
Coordinate with Buyers/Logistics to monitor stock levels and prevent stockouts.
Maintain accurate and compliant purchase records.
Safeguard custody of original and digital documents per ADM and legal regulations.
2. Cost Control
Ensure RM specifications in contracts comply with ADM and National standards, escalating discrepancies to management and the Regulatory team.
Track and manage domestic handling costs and ensure timely invoice processing (customs clearance, inspection fees, transportation, etc.).
Mitigate risks associated with shipping documentation, inspections, customs clearance, and quality conformity processes.
Ensure customs import processes comply with ADM SOPs and government regulations; liaise with Trade Compliance for issue resolution.
3. Vendor Management
Create and update vendor information in line with ADM Vendor Maintenance Policy.
Maintain custody of vendor certifications (e.g., Business Registration, Bank Confirmation, HACCP, GMP, ISO).
Ensure vendors acknowledge and comply with ADM's Supplier Expectations.
4. Reporting & Analysis
Prepare regular procurement reports (e.g., GIT).
Support internal and external audits, as well as risk assessment processes.
Provide other reporting and analysis as guided by the line manager.
General Responsibilities
Adhere to standard operating procedures, ADM policies, and local regulations.
Proactively identify and resolve issues in day-to-day processes, escalating when needed.
Perform other tasks assigned by the line manager.
Qualifications
Bachelor's or College degree.
Minimum 1 year of experience in purchasing execution and import-export/customs processes.
Experience in the feed or feed additives industry is preferred.
Strong problem-solving and risk-mitigation mindset.
Excellent attention to detail, compliance orientation, and ability to work cross-functionally.
Proactive, positive, and "can-do" attitude.
