Plant Services Coordinator - Campbellsville, KY

Job Description

This is a full time non-exempt position. This position is responsible for proactively maintaining an ongoing relationship with customers and sales staff. Will have daily exposure to customers in a fast paced environment and will be responsible for managing all aspects of customer accounts. Representatives will have exposure to order entry/scheduling, accounts receivable, inventories and logistics management. Detailed responsibilities for this position include:
  • Handle and understand the needs of all customers as assigned.
  • Establish & maintain top-notch relationships with all customers
  • Interact with customers regarding orders, changes, concerns, & documentation needs
  • Follow through on logistics for shipments from origin to destination (bulk & packaged)
  • Enter and maintain sales and purchase contracts
  • Process invoices and closely monitor all accounts receivable
  • Research & bill truck detention charges to customers
  • Research & obtain resolution of customer issues
  • Effectively manage positive relationships with Account Managers, Plants, Supply Chain, Transportation & Technical Services
  • Cross training on all CSR responsibilities
  • Other reasonable tasks as assigned by supervisor
  • Review purchase orders and enter contracts.
  • Manage customer contracts and provide support with product complaints due to shipping errors.
  • Preparation, codification and data entry of A/P vouchers related to fixed payments
  • Data entry of miscellaneous invoices
  • Coordinate all invoices discrepancies and prepare resolution report.
  • Scan and upload to Oracle system all documents (invoices, conduce, PO, etc.) related to the invoice
  • Interact with all the suppliers and reconcile vendor statements
  • Prepare the documentation for the New Suppliers
  • Prepare AP Entries at the end of the month
Minimum Requirements
  • High School Diploma or GED required
  • Prefer 2+ years of experience with customer service
  • Ability to multi task is crucial to being successful in this job.
  • Must adapt and perform consistently in a fast paced environment.
  • Exceptional verbal & written communication, & organizational skills
  • High regard for accuracy and attention to detail
  • Ability to collaborate well in a team environment.
  • Must be committed to group goals and objectives and continually seek to improve
  • Must be able to receive direction from others and work independently while managing priorities
  • Must be able to confidently make complex decisions & problem solving which impact all aspects of the business
  • Must have a friendly & positive disposition.
  • Proficiency in Microsoft Excel, Word, and Outlook required
  • Would prefer candidate with strong working knowledge of ADM systems.
  • Ability to learn web based & other computer applications as needed.
  • Actively expand knowledge of customer business and market conditions
  • Proficiency in clerical skills including keyboarding, data entry, filing, scanning, faxing and photo copying
  • Physical requirements include: sitting for prolonged periods of time, operating a keyboard, standing, filing, bending, kneeling, as well as clearly communicating via the telephone & email.
