Your Role

As a Logistics Operations Support Specialist, you will be responsible for managing and supporting end-to-end rail logistics and transport invoicing processes. You will serve as a key liaison between internal stakeholders, service providers, and administrative functions to ensure the smooth execution, tracking, and documentation of transportation operations across ADM Romania. Your role will support both strategic coordination and detailed data processing related to transport flows.

Key ResponsibilitiesTransport Invoicing & Administration
  • Act as the main point of contact between regional traders, the ADM central office, and transport partners regarding invoice-related matters.

  • Process transport invoices: validate data and ensure correct registration in Excel, SHARP, and OnBase systems, along with supporting documentation for payment processing.

  • Generate and share daily delivery and reception reports.

  • Create transport orders in SHARP and maintain digital and physical records of transportation contracts.

  • Compile and organize financial reconciliations in preparation for client invoicing.

Rail Transport Operations
  • Communicate loading/unloading instructions to port operators or freight forwarders regarding start dates, quantities, methods, and wagon loading plans.

  • Provide shipment preparation guidance, including waybill processing and import procedures.

  • Request and share port approvals for export cargoes with clients.

  • Notify inspection parties about quality and quantity checks during loading/unloading and coordinate sealing and operator schedules.

  • Inform shunting operators regarding wagon movements, weighing schedules, and rail yard availability.

  • Coordinate with the national railway (CFR) and private maneuvering operators to manage wagon allocation, transport scheduling, and instruction transmission in line with transport contracts.

  • Register incoming and outgoing railcars in dedicated tracking systems for financial reporting.

  • Prepare and monitor rail operation agreements (CCID-CEM) with CFR Marf and private maneuvering operators.

  • Track service contracts and ensure invoice accuracy, entering verified data into internal applications.

  • Archive all rail-related documentation post-unloading, including waybills, weighing slips, and handover forms.

Your Profile
  • Bachelor's degree (preferably in Logistics, Economics, or Business)

  • Minimum 2 years of experience in a similar logistics or operations coordination role

  • Intermediate to advanced level of English

  • Proficient with MS Office tools, especially Excel

  • Valid driving license - Category B

  • Strong numerical, organizational, and problem-solving skills

  • Team player with excellent communication and adaptability

  • Quick learner with a structured and disciplined work approach
