Facility Maintenance Planner & Scheduler - Mankato, MN

Position Summary:

The Maintenance Planner is a critical role responsible for planning, coordinating, and optimizing all maintenance work activities at the ADM Mankato Complex. This includes developing detailed work plans, standardizing the work order system, and leading plant-wide shutdowns yearly PMs, Monthly, Weekly, Daily. The planner works closely with maintenance teams leaders, contractors (pipefitters, electricians, millwrights), operations, and engineering to ensure safe, efficient, and timely completion of maintenance tasks across the Crush, Refinery, and Cogeneration (Cogen) areas.

Key Responsibilities:

Work Planning & Scheduling

  • Develop, prioritize, and schedule preventive, corrective, and predictive maintenance work orders.
  • Plan and coordinate jobs for multi-trade teams including pipefitters, electricians, and millwrights, ensuring labor, tools, permits, and materials are in place before execution.
  • Ensure all work plans include accurate task durations, safety protocols, drawings, procedures, and QA/QC steps.
  • Create detailed job plans including labor requirements, parts, tools, permits, and safety procedures.
  • Develop and maintain Gantt charts and weekly maintenance schedules using CMMS or planning software (e.g., SAP, Maximo, MS Project).
  • Plan and schedule plant-wide shutdowns and turnarounds in coordination with operations and engineering.
  • Maintain and continuously improve job plan libraries for repetitive work.
  • Coordinate work with maintenance technicians, electricians, pipefitters, engineers, and contractors.
  • Communicate planned work clearly with affected departments to minimize operational impact.
  • Participate in daily maintenance and production meetings to align priorities and update status.
Shutdown & Turnaround Planning
  • Lead the planning and coordination of major plant shutdowns for the Crush, Refinery, and Cogen units.
  • Develop shutdown schedules, detailed scopes of work, Gantt charts, and manpower loading plans.
  • Collaborate with operations, engineering, contractors, and vendors to ensure timely and safe shutdown execution.
  • Track progress during outages, address deviations, and lead post-shutdown review for continuous improvement.
Work Order System & Standardization

  • Champion the standardization of the work order process within the CMMS system (e.g., SAP, Maximo).
  • Ensure work orders are clearly defined with appropriate asset codes, failure codes, priority levels, and completion notes.
  • Develop planning KPIs such as schedule compliance, PM completion rate, backlog, and planning accuracy.
  • Train maintenance staff and contractors on work order best practices and CMMS usage.
Materials & Contractor Coordination

  • Coordinate with the storeroom/warehouse supervisor to ensure availability of required parts, tools, and safety equipment for all planned work.
  • Interface with purchasing and vendors for specialty materials and outside service contractors.
  • Ensure contractors are properly onboarded, qualified, and provided with clear scopes and expectations for planned work.
Safety, Compliance & Documentation

  • Ensure all planned work follows plant safety procedures including LOTO, confined space entry, and hot work.
  • Incorporate risk assessments and job safety analyses (JSAs) into all major job plans.
  • Ensure compliance with food safety, environmental, and regulatory standards applicable to plant operations.
Reporting & Continuous Improvement

  • Analyze equipment history and maintenance trends to recommend improvements.
  • Track and report on maintenance KPIs including schedule compliance, downtime, and work order backlog.
  • Assist with reliability initiatives such as RCM and root cause analysis.
Qualifications:

Education & Experience

  • Technical diploma or degree in Mechanical, Electrical, or Industrial Maintenance preferred.
  • Minimum 5-10 years of maintenance planning experience in an industrial manufacturing setting.
  • Prior experience in agri-processing, food manufacturing, or energy systems (boilers/turbines) is highly desirable.
  • Required Hands-on experience with equipment used in soy oilseed crushing, refining, and cogeneration systems.
Skills & Competencies

  • Strong working knowledge of maintenance best practices, reliability concepts, and CMMS systems (e.g., SAP PM, Maximo).
  • Proficiency in reading technical drawings, P&IDs, and OEM manuals.
  • Ability to manage multiple priorities and lead large-scale coordination efforts during plant outages.
  • Excellent communication and organizational skills to collaborate with operations, engineering, and external vendors.
  • Required proficient skills in using Maximo, Excel, Gantt Chatt development, other planning software's
Working Conditions:

  • Mix of office and field environment 50%-50%; must be able to access all areas of the plant, may require work on ladders, scaffolding or other work at heights or in confined spaces.
  • Requires walking, climbing, and inspection in industrial settings during maintenance and shutdowns.
  • Occasional extended hours or weekend work may be required during shutdowns or emergency repairs.
