Executive Assistant - Legal & Corp Governance - Chicago, IL.

Location:
This is an onsite position at ADM's Global Headquarters in Chicago, IL requiring a daily on-site presence.

Position Summary:

ADM is seeking an Executive Assistant to provide direct support to the Senior Vice President, Chief Legal Officer and Secretary and the Vice President, Corporate, Securities and M&A Counsel & Assistant Secretary. This highly visible role is critical to keeping key legal and corporate governance projects and initiatives moving forward by delivering high-level administrative support.

Key Responsibilities:
  • Ensure complete confidentiality on all sensitive legal and business matters
  • Proactively manage complex and frequently changing calendars, taking initiative to resolve scheduling conflicts and maintain seamless daily flow
  • Coordinate complex global travel arrangements and prepare accurate expense reports
  • Assemble and prepare documents, presentations, reports, and correspondence for both internal and external use, often under tight deadlines
  • Design and deliver polished PowerPoint presentations for use in meetings with the executive team, board, and external stakeholders
  • Maintain and organize administrative, reference, and legal files, ensuring accurate documentation and timely follow-up
  • Create, format, and distribute Excel reports compiled from various internal and external sources
  • Review, route, and secure approvals from multiple departments, ensuring timely turnaround on key matters
  • Manage multiple Microsoft SharePoint sites and Teams channels, overseeing document repositories, permissions, and access controls
  • Plan, coordinate, and manage meetings and events, including those involving external counsel and other key individuals
  • Support leaders, at times, during non-standard hours due to travel or urgent company priorities

Qualifications:
  • A bachelor's degree is preferred but not required and/or a minimum of five years of executive assistant or equivalent high-level administrative experience
  • Proficiency in the Microsoft Office Suite (SharePoint, Teams, Outlook, Word, PowerPoint, Power BI, and Excel) required;
  • Familiarity with Document and Matter Management systems as well as tools such as DocuSign, Adobe Professional and Compare ware software is preferred
