We are looking for a proactive and well-organized Administrative Assistant to support the day-to-day operations of our office. This role is essential to ensuring smooth administrative processes and effective communication across the organization. The successful candidate will work closely with the Office and Admin Services Coordinator and various departments, playing a key role in maintaining a well-functioning and welcoming office environment.
Administrative Assistant will report to the EMEA GBS Engagement & Communication Manager and Administration Lead.
Responsibilities:
Support daily office operations in close collaboration with Office and Admin Services Coordinator, including reception services, parking, and office access management
Communication with vendors, ordering office supplies, and ensuring proper maintenance
Organization of internal meetings, business events, and guest visits, team integrations, and celebrations.
Hands-on support for onboarding, offboarding, workspace planning, and well-being programs
Support in ensuring compliance with internal policies, health & safety standards, and administrative procedures.
Handle documentation flow and correspondence, archiving processes, courier services
Maintain accurate records of office expenses and prepare reports as needed
Requirements:
Previous experience in an administrative or office support role is preferred
Fluency in English and Polish (spoken and written)
Proficiency in MS Office (Word, Excel, Outlook, PowerPoint)
Strong organizational and multitasking skills
Excellent communication and interpersonal abilities
Proactive attitude with attention to detail
Willingness to work 5 days per week from the Pozna office
