Mission Support Assistant
Reports to: Director of Administrative Services
Location: Kansas City, MO
Classification: Non-Exempt
Pay Range: $20-23/hour

As the Mission Support Assistant, you will play a key role in helping us deliver our mission by supporting operations, programs, and data processes with accuracy and efficiency. You will help create a responsive, organized environment that allows our mission and impact to thrive.

Essential Functions
- Serve as a welcoming first point of contact while helping maintain a well-organized and accessible office environment
- Manage the main phone line and shared email inboxes, responding promptly and connecting people with the right team or resources
- Coordinate incoming and outgoing mail, including communications related to donors, partners, and programs
- Support general program coordination and organization events through supply coordination, material preparation and printing, packing, and post-event materials handling
- Support program application and selections processes in alignment with established program timelines and procedures
- Review and process scholarship payment and expense reimbursement requests to help ensure timely support for program participants
- Keep data accurate and consistent across systems by performing regular quality checks and updates
- Order, organize, and maintain office supplies
- Prepare reports for internal teams and external partners to support transparency and impact
- Assist the broader team with special projects and emerging priorities as needed

- Comfortable using common office technology and equipment (Microsoft 365, databases, basic reporting tools, copiers and postage meter)

Required Education and Experience
- An equivalent combination of education and relevant experience will be considered:
- Associate’s degree in business administration, nonprofit operations, programming or related field
- Minimum of three (3) years of experience in operations, administrative support, nonprofit services, or office coordination
- Proficiency in MS Office, especially Word and Excel
- Experience managing records within databases or Customer Relationship Management (CRM) systems
Supervisory Responsibility
- This position has no direct or indirect supervision of other staff.
Work Environment
- This job operates primarily in a professional office environment.
Physical Demands
- While performing the duties of this job, and subject to request for reasonable accommodations, you would be required to constantly operate a computer and other office equipment as needed (i.e. phone, copier/scanner, postage meter, etc.).
- You must also be able to remain in a stationary position most of the day and to exchange information with internal and external constituents regularly.
- Occasionally, you may be required to move or position equipment weighing up to 20 pounds.
Position Type/Regular Hours of Work
- This is a full-time position at AFA’s primary office, and workdays and hours are Monday through Friday, 8:00 a.m. to 5:00 p.m.
- You will be required to work evenings and weekends, though infrequently.
Travel
- Travel is limited and primarily local during the business day, although some out-of-area and overnight travel associated with AFA programs or training is possible.
