Job Description

We are seeking a North American Electrical Studies administrative Coordinator who will be responsible for maintaining the electrical arc flash study program and metrics to track compliance for all of ADM's North American locations.

This role is responsible for aiding the organization in ensuring electrical studies are completed and maintained at all NA ADM locations.

The successful candidate will be highly organized and detail-oriented, with extensive experience successfully managing multiple simultaneous competing priorities.

Core Responsibilities

  • Organize and maintain all electrical studies for ADM NA locations
  • Distribute electrical study scope packages to provide to our vetted engineering firms that perform these studies
  • Maintain study program and metrics to show compliance and track progress (approx. 500 studies)
  • Communicate with BU leadership and local management regarding electrical studies: progress and spend
  • Run monthly vendor meetings to ensure all studies are on track and address issues
  • Create all POs for study program: updates, initial studies, software and label orders
  • Troubleshooting and resolution of invoicing and payment issues
  • Track quarterly/yearly spend for electrical studies
  • Manage software license agreement and ensure license keys are up to date and active
  • Initial contact with new locations and locations with expiring studies, coordinating receipt and transfer of that information to appropriate parties
  • Planning and tracking necessary travel and costs associated with study work
  • Vendor selection for study work based on current workload and location
  • Requesting and reviewing quotes/proposals from vendors
  • Tracking and managing progress of electrical study to ensure it progresses timely
  • Manage study calendar to ensure all vendor trips are tracked

Required Qualifications

  • 3+ years of progressive administrative experience
  • Exceptional communication skills with the ability to clearly convey complex technical information, influence diverse stakeholders, and effectively navigate challenging conversations and relationships; proficiency in the English language
  • Strong commitment to safety, with a proven ability to promote safe work practices and foster a safety-first culture
  • Proficiency with Microsoft Office suite: Word, Excel, PowerPoint
  • Significant experience successfully and effectively managing multiple competing simultaneous priorities
  • Experience reviewing and validating vendor invoices
Preferred Additional Qualifications
  • Experience with purchasing systems, including Maximo, JDE, and Coupa
  • Knowledge of CMMS applications, preferably IBM Maximo, including electrical asset hierarchies, preventive maintenance programs, work management, asset history, and maintenance performance metrics
  • 5+ years of coordination experience, influencing stakeholders and developing organizational strategies
  • Strong ability to influence without direct authority, establish technical credibility, and drive adoption of common standards and best practices across geographically dispersed facilities and a range of people across diverse backgrounds
