Under general guidelines and limited oversight, makes independent decision regarding planning, organizing, and scheduling of administrative support work for the facility. Performs broader, more complex administrative work to support individuals and/or work group(s) related to administrative processes, meeting/event logistics, internal customer inquiries, documents and correspondence, and data management systems.

Principal Accountabilities

35% Site Production: 
• Assist leadership team and supervisor group with administrative tasks such as job opening requests, Kronos/attendance. and other stakeholder related tracking.
• Perform all HR Proxy duties and support supervisors in employee on-boarding and separation process.
• Maintain employee files and file all employee related documents. 
• Provide support for site production activities.
• Create new or update existing documents for leadership team.
• Assist leadership team with workorder entries and tracking. 
• Administer payroll entry/changes.
• Handle vacation tracking for plant and office.

25% Operational: 
• Develop, edit, maintain operational documentation and records in accordance with RIM requirements. 
• Help manage tracking and follow-up of corrective actions for root cause analysis, safety, food safety, audits, and inspections.
• Create new or update existing documents for leadership team.
• Assist Facility Manager & Leadership team with administrative tasks as needed.
• Other responsibilities as needed to support site administrative needs.

25% Administrative: 
• Perform front desk duties such as taking phone calls, welcoming guests, etc. 
• Assist in office or other supply ordering and inventory management.
• Assist in event planning and managing meeting spaces.
• Distribute interoffice and outside mail; 
• Plan company functions and facility activities as needed; schedule audiograms, eye exams and biometric screening.
• Support site community enrichment.
• Help coordinate employee programs and recognition activities.
• Create employee communications for the site.
• Maintain site paperwork, records/files; 
• Manage office and plant supplies as needed.
• IT contact for facility as needed.

15%- Other administrative duties as assigned.

This role provides valuable experience in working with customers, vendors, carriers, and contractors, as well as foundational knowledge in understanding processes in operations, supply chain, procurement and human resources, which could lead to a wide range of opportunities.

Required Qualifications
• High School Diploma/GED (additional post high school course work a plus).
• At least 2 years of customer service, operations or administrative experience.
• Previous experience with Excel, Access, Outlook, PowerPoint, and Word.
• Flexibility of working between 12:00pm and 10:00pm Monday to Friday.

Preferred Qualifications
• Bachelor or Associate Degree in Business Administration or similar stream.
• SAP or other ERP knowledge and experience.
• Previous experience of prior Office Administrator or administration assistant experience.
